Job Title: HRIS Advance Specialist
Reports to: Compensation & Benefits Manager
Job Purpose: Act as the key business partner and focal point for all HR systems, ensuring they effectively support organizational objectives and the company’s digital transformation strategy. The role drives continuous improvement and process optimization across HR functions by ensuring data accuracy, maintaining organizational structures, standardizing job descriptions, supporting job evaluation processes, and upholding proper governance to keep all role and structural data accurate, consistent, and approved.
Key Tasks/Accountabilities: •
HRIS Administration and Optimization Oversee and ensure the smooth operation of the HR Information System (HRIS), including system maintenance, updates, and enhancements in coordination with the IT/ERP teams to meet HR business needs.
• Data Integrity and Reporting Maintain the accuracy, consistency, and integrity of employee data across all HR systems and databases, ensuring information is updated and available in a timely manner for decision-making and reporting.
• Process Automation and Improvement Lead initiatives to automate HR and Administration processes, identify opportunities for improvement, and enhance overall efficiency and user experience in alignment with the company’s digital transformation strategy.
• Project Management and Implementation Act as HR’s business project manager for new system implementations and upgrades (e.g., performance management, document archiving, and facility management systems), ensuring business requirements are accurately captured, tested, and delivered as expected.
• Testing and Quality Assurance Coordinate user acceptance testing (UAT) for HR-related systems and ensure the involvement of relevant stakeholders to validate system performance and functionality before deployment.
• Data Analytics and Organizational Insights Maintain an updated organizational structure and data repository to support the creation of dashboards, workforce analytics, and management reports.
• Job Description (JD) Development & Standardization Review, and update job descriptions across the organization in alignment with job family architecture and competency frameworks, eensure JDs clearly qualifications/skills and work with line Managers/ Directors to validate accuracy and ensure JDs reflect current operational realities
• Organizational Structure Review and Advisory Study and analyze any proposed organizational restructuring within departments by evaluating job roles and descriptions using recognized job evaluation methodologies (Hay/Mercer), identifying overlaps or gaps between functions, and providing recommendations and insights to management for informed decision-making.
• Collaboration and Best Practices Partner with the ERP and IT teams to implement HR best practices and optimize existing processes in line with business objectives and efficiency targets.
• Compliance and Information Security Ensure all HR data management activities comply with company policies, data protection standards, and information security requirements.
• Future Planning and Risk Mitigation Support business continuity by maintaining system backup plans, ensuring data availability, and preparing for future scalability as the organization grows.
• Job Data Management Ensure job descriptions and related data are accurately maintained and integrated into HR systems to support talent development, performance management, manpower planning, and salary benchmarking.

What We Need From You
PERSON SPECIFICATION Qualifications/
BSc in Business Administration, IT, or a related field; HR certification preferred.
• Minimum of three years’ experience in an administrative or HR-related role within the private sector (HR certification preferred).
• Strong background in organizational structure analysis, including span of control, layer assessment, and manpower reporting.
• Excellent knowledge of job description writing standards, role profiling, and position management practices.
• Advanced proficiency in Microsoft Excel and Visio, with practical experience in Oracle HR systems for structure and data management.
Knowledge:
• Good understanding of the Sudan market and Zain business strategy, goals and competitive environment
• Project management Knowledge and practices
• Excellent understanding of HR processes and business rule
• Knowledge of Dashboard and Power BI
• Understanding of organization design frameworks, such as spans and layers and job architecture
• Analytical skills
