Implement the Administration and Support policies and procedures
Carry out assigned activities in specified area with direct supervision
Administration and Support:
Check meeting and conference facilities ensuring availability and cleanliness
Distribute internal mail across Zain ensuring timely delivery and abidance by code of confidentiality
Answer phone calls and direct calls to appropriate parties or take messages
Set up and manage paper or electronic filing systems, recording information (data entry), updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material
Type, format and edit correspondence and other documents making necessary or recommended corrections
Complete work schedules, manage calendars, and arrange appointments
Carry-out basic administrative services activities such as receiving, delivering and printing documents etc. for offices support and maintenance purposes
Assist in monitoring the use of equipment and supplies within the office
Access to information database and collect needed information as per requests
Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems, and personal computers
Perform routine maintenance services as and when required
File all invoices related to the building and facilities operations including water and electricity for maintenance purposes
Assist in reviewing documents (passport, medical results, etc.) of all new and existing employees and visitors before submission to the relevant government authorities ensuring adherence to concerned regulations
Regulatory Affairs Special Services:
Receive simple requests and respond in a timely manner in coordination with concerned parties.
Access information database and collect needed information as per requests.
Communicate news and information related to external factors or major cases such as rain storms, earthquakes, etc.
